FISCAL data requirements overview

Updated

FISCAL relies on high-quality data extracted from your systems to deliver accurate analysis and insights. To ensure optimal system performance, data should be extracted regularly and uploaded to FISCAL using either our automated integration methods or manual upload processes

Data requirements overview

There are four distinct file types required for FISCAL: Transaction files (containing your financial transaction data), Supplier files (master data for your vendor relationships), Employee files (personnel information for Employee vs Supplier analysis) and IMS files (Invoice Management System data for pre-posted invoice data).

The specific files you'll need to provide depends on which FISCAL modules your organisation has purchased.

The following sections detail the exact data fields, formats, and extraction requirements for each file type to help you prepare your data feeds correctly.

Data requirements best practices

To get the most benefit from functionality in FISCAL, follow these recommended practices:

  • Include as many of the data fields as possible: the more data, the more informed a user is, and in some cases the more functionality that will be unlocked.
  • Include the correct data: In the Transactions file, include only the relevant transaction types for vendor invoices, credit notes, reversals and cancellations. In the Suppliers file, include all active suppliers. In the Employee file, include all current employees. In the IMS file, include all pre-posted invoices and credit notes.
  • Follow the guidance on the format of the file: to ensure successful upload and processing of the data.
  • Provide Historical data first: to build context in FISCAL, provide historical files first before commencing your regular uploads.
  • Document your extraction method: and share with your implementation manager to support any future updates.

FAQs

Q:  Which finance systems are supported?

A:  FISCAL is ERP agnostic, it can ingest data from any system as long as the file has been formatted correctly as per the data requirements.

Q:  Can I test a file before uploading to FISCAL?

A:  Yes, we recommend you do!  Speak to your Onboarding Manager or Customer Success Manager who will support you with testing of new files and changes to existing files.

Q:  We don't have data for some of the fields in the data requirements, what should we do?

A:  There are very few fields that are mandatory for FISCAL to work, but many of the fields will provide additional functionality for the users.  Provide as many of the fields as you can and your Onboarding Manager or Customer Success Manager will advise of the impact of any missing fields.

Q. What format do the files need to be in?

A. FISCAL accepts .csv, .tsv, .xlsx or .txt format. Full format requirements can be found on each file type data requirement page.
